About the project

IFES is currently implementing a capacity-building program in support of Kenya’s electoral process in the areas of Voter Education, conflict mitigation and sustainability of Election Technology, among others.

Position Summary

IFES Kenya seeks to recruit an Operations Support Manager to be based in Nairobi’s IFES offices.

Under the supervision of the Director for Finance & Operations, principal duties and responsibilities shall include, but not limited to, the following:

Key Responsibilities

General Operations Support

  • Supervise Operations staff to carry out general office administration/operations duties;
  • Responsible for the day to day management of all suppliers/vendors and managing all contracts/leases;
  • Maintaining office insurances and ensuring renewals are done on time, while also ensuring losses are reported on time;
  • Keeping track of all IFES short term and long term leases ensuring they are renewed on time and sort any arising issues.
  • Review and ensure accuracy in the maintenance of all vendor and office files in both paper and electronic form; and
  • Any other duties assigned.

Human Resources Support

  • Assist in drafting scope of work, terms of reference, offer letter and employment agreements for new hires/consultants.

  • Managing IFES Kenya recruitment sites/emails

  • Preparation of interview schedules for recruitment

  • Provides job candidates by screening, interviewing, and testing applicants; notifying existing staff of internal opportunities; maintaining personnel records; obtaining temporary staff from agencies.

  • Maintaining and updating staff members on IFES policies/procedures

  • Updating and managing HR filing system (both manual & electronic)

  • Maintains human resources records by recording new hires, transfers, terminations, changes in job classifications, merit increases;

  • Orients new employees by providing orientation information packets; reviewing company policies

  • Maintaining and updating employee’s information/Personal Files

  • Documents human resources actions by completing forms, reports, logs, and records and filling accordingly.

  • Coordinating staff trainings/seminars

  • Any other duty assigned

Academic Qualifications

· Bachelor’s degree in a relevant field.

Relevant Experience

· Minimum 5-8years work experience in the same role, at least 5years relevant experience in an NGO or INGO.

Essential competencies

· Excellent written and oral communication skills

· Excellent computer skills

· Good interpersonal and communication skills

· Ability to work with minimum supervision

· Result-oriented

· Experience in office/operations management and supervisory roles
